I Can't Log Into My Email
First, make sure which mail server your email is hosted on. Students of the Faculty of Economics (EKF) and Faculty of Safety Engineering (FBI) have their mailboxes hosted on the Exchange Online server and log in using their personal number in the format personalnumber@vsb.cz (e.g., abc1234@vsb.cz) and their unified password. Students of other faculties log into the Roundcube webmail application or use an email client via the IMAP protocol, logging in with their personal number (e.g., abc1234) and their unified password.
Employees typically use an email client with IMAP configuration, or they can request migration to Exchange Online by submitting a request via the Helpdesk.
How Do I Set Up Email Forwarding?
If your mailbox is hosted on Exchange Online, you can set up forwarding using a server-side rule on Exchange, following the guide on Setting Up Email Forwarding and Copies.
If you use Roundcube, meaning your mailbox is hosted on a Linux server using the IMAP protocol, you can set up forwarding either through a filter in Roundcube or by filling in the "Email Copy" field in your personal settings.
How Do I Set Up an Email Client?
To configure your email client, you can use one of the guides provided. If your mailbox is hosted on Exchange Online, follow the guide Setting Up the Outlook Client for Receiving Mail from Exchange Online.
If you use Roundcube, meaning your mailbox is hosted on a Linux server with IMAP, configure your email client according to the guide Setting Up the Outlook Client (O365) for Receiving Mail via IMAP/POP3 or other guides available on the Email Client Configuration for Sending and Receiving Emails page.
Which Attachments Are Filtered by the Mail Server?
The university's SMTP server filters emails containing executable attachments (even if they are packed in a password-protected archive), such as files with the following extensions:
.msi, .exe, .dll, .js, .jse, .pif, .msp, .inf, .reg, .ws, .ws, .bat, .vbe, .hta, .scr, .vb, .java, .sh, and others.
Why Was My Email Not Delivered?
The email may have contained prohibited attachments, malicious software, spam, phishing, etc., and the university's SMTP server blocked its delivery. You can recover such emails by logging into the email quarantine web interface at https://postak.vsb.cz.
What Is the Maximum Attachment Size I Can Send by Email?
The maximum size of an email, including all attachments, is 20 MB. If the attachment or the total size of all attachments exceeds this limit, upload the attachments to a suitable storage service and include a download link in your message.
How Many Recipients Can Be Included in One Email?
When sending mass emails, always follow the directive Use of Email at VŠB-TUO (TUO_SME_09_002).
If you are sending emails from Roundcube, the maximum number of recipients in one email is 10.
My Name Has Changed, But My Email Address Is Still the Same
After reporting your new name to the study department (students) or the HR department (employees), a new email alias will automatically be generated. You can then set this new alias as the primary one in your personal settings.
What Is Phishing?
Phishing is a fraudulent technique used to obtain sensitive information (passwords, credit card numbers, etc.) from victims. It involves sending emails that appear to be official requests from email administrators, banks, etc., asking the recipient to enter their login information on a linked page or to send the information back via email. By entering your login details, you are giving them to attackers who can then misuse these credentials to send SPAM or steal money (in the case of a bank account). More details can be found on the Fraudulent Messages - Phishing page.
How Can I Set an Automatic Email Reply?
If you use Roundcube, meaning your mailbox is hosted on a Linux server with IMAP, you can set an automatic reply following the guide How to Set an Automatic Reply Using a Filter, or by using a rule in your email client.
If your mailbox is hosted on Exchange Online, set an automatic reply in the Outlook web interface via Quick Steps > Mail > Automatic Replies, or in the Outlook desktop client via File > Automatic Replies.
How Do I Find Out Which Version of Outlook I Am Using?
You can find out your current version of Outlook by following the steps in the guide Finding the Current Version of MS Outlook.
Why Don't I Have Access to a Shared Calendar?
Your mailbox is likely hosted on a Linux server using the IMAP protocol. The shared calendar function is available for mailboxes hosted on the Exchange Online (EXO) server. If you wish to migrate your existing mailbox to EXO, submit a request via the Helpdesk.
